Virtual Group Meeting Options

Best Practices for Video Conferencing

  • Use headphones, as this helps to prevent audio problems
  • Once a call has begun, every participant has a Mute button. To prevent audio problems, mute yourself until it’s your turn to talk. Once you are finished talking, mute yourself again.

Jitsi Meet

  • Free, up to 200 devices
  • No account required; Computers need to use the Google Chrome web browser; mobile devices need the Jitsi Meet app.
  • Leader:
    Computer: Open Google Chrome (web browser) and go to meet.jit.si.  Type in the name of your meeting (the name can be whatever you want it to be) in the center blank, then click Go.  Share the name of your meeting with everyone in your group via email or text.  You’ll need to grant permission for the website to access your computer’s camera and microphone (you will be prompted to grant these permissions).
    Mobile Device: Download the Jitsi Meet app from the App Store. Open it and type the name of your meeting in the blank, then click Create/Join.  Share the name of your meeting with everyone in your group via email or text.
  • Participant:
    Computer: Open Google Chrome, and go to meet.jit.si.  In the center blank, type in the name of the meeting you received from your group leader.  You’ll need to grant permission for the website to access your computer’s camera and microphone (you will be prompted to grant these permissions).
    Mobile Device: Download the Jitsi Meet app from the App Store. Open the app and enter the name of the meeting you received from your group leader.

Facebook Messenger

  • Free, up to 50 devices participating
  • Any device capable of video calling, but everyone needs a Facebook account (and the Facebook Messenger App for mobile devices)
  • Leader: Computer: Login to Facebook (using Google Chrome as your browser) and
    then open the Messenger piece (click on the text bubble at the top right with
    a lightning bolt in it, then click See All In Messenger at the bottom left of the
    popup). Click to start a new message (the button with a square and a pen),
    then add all of your participants. Type a message at the bottom (such as:
    we’re about to start) and click send. Then a blue video camera will appear at
    the top right. Click the blue video camera to begin a group video call.
    Mobile: Open the Facebook Messenger App, then start a new group chat
    through the Facebook Messenger App; then add contacts, then click Video
    Call at the top right.
  • Facetime

  • Free, up to 32 devices participating
  • Only works with Apple devices
  • Leader: On an iPhone or iPad: Open Facetime App, click the + button in the top right, then add contacts, then click Video Call.
    On an Apple computer: Open Facetime App, then type the names of your participants in the text field (it says enter name, email, or number), then click Video call.

Webex

  • Basic account is free; up to 100 participants
  • Requires everyone to have a Webex account, and install the appropriate app for computer or mobile device (https://www.webex.com).
  • Leader: Computer: Launch the app, start a new meeting, then click the Info Button at the top left (circle with an i), then copy the URL and paste it in an email or text to everyone in your group.
  • Mobile Device: Launch the mobile app, start a new meeting, then click start, then click the button with 3 dots at the bottom, then click Info, then copy the URL and paste it in an email or text to everyone in your group.
  • Participant: (First, you must download the appropriate Webex app and create a free
    account.) Click on the link you receive from your leader. The appropriate app will
    launch and you will automatically join the call.
  • Zoom

  • Basic account is free; up to 100 participants
  • **40 minute limit on group meetings**
  • Requires everyone to have a Zoom account, and everyone must install the appropriate app for computer or mobile device (https://zoom.us).
  • Leader: Computer: Launch the Zoom app, Start a new meeting, click Invite at the bottom of the screen, click Copy URL at the bottom left, then paste it in an email or text to everyone in your group.
  • Mobile Device: Launch the Zoom app, Start a new meeting, click Participants at the bottom of the screen, then click Invite at the bottom of the screen, then click Copy URL. Paste the URL into an email or text to everyone in your group.
  • Participant: (First, you must download the Zoom app and create a free account.) Click on the link you received from your group leader. The appropriate app will open and you will automatically join the call.
  • Be advised: security concerns have surfaced recently regarding Zoom.
    Open your web browser, go to Zoom.us, click Sign in, and login using your account credentials. On the left hand side, click Settings. Scroll down until you see File transfer. Toggle this setting off.
    Continue to scroll down in the settings until you see Screen Sharing. Under Who Can Share? Change the setting to be Host Only, then click Save
